Hiring Funnel Systems

Manage the hiring process like a sales funnel

How it runs

Scored against the role, not a generic rubric

Trigger

Application submitted, role ID

Step 01

Create the candidate record

Step 02

AI reads the CV in three calls

Step 03

Pull the role's scoring template

continues

Step 04

Score against role requirements

Router

Book interview or send decline

Board

Stage board: applied to hired

What it is

Applications enter a pipeline with stages, get read and scored by AI against the actual requirements for that specific role, and either book an interview or get a clean decline.

You need this if hiring means a founder reading a hundred CVs in the evenings, capping your hiring speed at your worst week and landing the cost as an unfilled seat.

If you already have a process, treating hiring as a funnel gives you the numbers: applications per source, screen-to-interview rate, time-to-offer.

The actual build

Hiring Funnel Systems — the as-built system.
Hiring Funnel Systems — the as-built system.

What it does for you

01

Every application gets read and scored the day it lands

so good candidates don't cool off in a backlog.

02

Scoring runs against the specific role's requirements rather than a generic rubric

which makes the shortlist worth trusting.

03

You get funnel numbers for hiring

so you can fix a source or a stage instead of just posting the job again.

Built and running

Built internally for the business. Ships as three parts: a Hiring Agent handling application intake, candidate record, AI CV analysis and role-template lookup; a Job Scoring Agent; and hiring-call handling.

How to build it

  1. Store one row per role holding its actual requirements, and pass the role ID through the application webhook
  2. Create a candidate record on every application before anything else runs
  3. Chain the AI in three small steps (extract the CV text, summarise the experience, score against that role's requirements) so each step is testable
  4. Auto-book interviews above the bar and auto-decline below it, leaving only the middle band for a human
  5. Track it like a sales pipeline: applications per source, screen-to-interview rate, time-to-offer
